To Create and View Snapshots

You can capture current information about an object and save it in a related document by creating a snapshot of the object. The format of the snapshot document can be XML, HTML, or PDF format.

Snapshots are commonly configured to be created automatically, when an object is approved. You can also create snapshots manually, and whenever needed (not just when approving an object), if your administrator has given you the ability to do so.

It is possible for an object to have more than one snapshot created for it. If more than one snapshot exists, you can compare the snapshots to see what information has changed over the life of the object.

Note: Before any snapshots can be created, the administrator must create a snapshot class that contains at least one snapshot template. The template determines:
  • Which classes of objects a snapshot can be created for
  • Which information will be included in the snapshot
  • What file format the snapshot document will be (XML, HTML, or PDF)
  • Whether or not users can create snapshots
  • Whether or not snapshots are created automatically upon approval of an object

You can create a snapshot by selecting Create Snapshot from the Object menu.

To Create a Snapshot

Follow these steps to create a snapshot.

  1. Open the object for which you want to create a snapshot.
  2. From the Object menu, select Create Snapshot.
    The Create Snapshot wizard appears. For example,
